W-2s

To file electronically from ActivityHD, use the "USA 2023 EFW2" export control. After you've upgraded to version 8.43-3 or later, you can import the export control from the distribution folder path "\Extras\Payroll\Export Controls\USA 2023 EFW2.XML". Contact AccountingWare Support if you need assistance.

According to Social Security Administration Publication 42-007, EFW2 Tax Year 2023 "Specifications for Filing Forms W-2 Electronically (EFW2)", no field changes were required for the 2023 EFW2 file.

Before You W-2

Before you begin W-2 processing, it's good to verify that the following information is accurate/up-to-date:

  • Export employers
  • Export submitters
  • Company address
  • Employer tax ID on the Payroll USA tax entity (and state tax IDs if applicable)
  • Payroll groups and the PRCodes assigned to them. In particular, filter the Segment Items or PRCodes HD view and apply the "? Has Group" filter to verify the PRCodes assigned to the following groups:
    • Compensation (Pay PRCodes)
    • IncomeTax (Tax PRCodes)
    • PreIncomeTax, PreMedicare, PreSocialSecurity (Deduction PRCodes)
    • 401k, Roth401k, 403b, 457b, etc. (Deduction PRCodes)
    • ThirdPartySickPay (Pay PRCodes)
    • Employer-sponsored health plans (Deduction PRCodes)

    Note

    If segment items are missing from any groups and you add them, be sure to review prior calculated taxes and create any necessary correcting checks, make additional payments to the IRS, and file amended 941 forms. Consult AccountingWare Support for assistance.

  • Taxable wages. Import and use the Taxable Wages export control (found in your "Extras" distribution folder). Use "Verify" filters to locate problem checks. (You can copy existing "Proof" filters on the Checks folder and change the value of the Merged flag from "0" to "1" in the conditions.) Look for these types of problems:
    • Federal taxes (income tax, Medicare, social security). Make correcting checks to fix discrepancies. Call AccountingWare Support for assistance with correcting checks.
    • State taxes (income tax, miscellaneous state taxes). Make correcting checks to fix discrepancies.

Noteworthy

Effective 1/1/2016, the Social Security Administration will return electronic and paper wage reports which contain a W-2 with any of the following:

  • Medicare Wages and Tips less than the sum of Social Security Wages and Social Security Tips.
  • Social Security Tax greater than zero, but Social Security Wages and Social Security Tips equal to zero.
  • Medicare Tax greater than zero, but Medicare Wages and Tips equal to zero.

The Generate W-2s wizard validates for these conditions.

If you furnish W-2 forms to employees electronically, you must meet a couple of requirements:

  • You must obtain employee consent and meet certain disclosure requirements.

  • You must provide employees with the required EIC notice. This notice is typically printed on the back of blank W-2 stock.

Because income tax functions are built into ActivityHD Payroll, you must upgrade to version 8.43-3 or later for the 2024 tax year. After this upgrade, AccountingWare will add the tax table update. Contact AccountingWare for the 2024 upgrade.

Parameter Updates

Many parameters are built-in (such as the first eleven listed in the table below) and are automatically updated for you when ActivityHD is upgraded to version 8.43-3 or later for the 2024 tax year. It is your responsibility to add new effective dates and values for any user-defined parameters.

Fixed Assets

General Ledger

  • Update your GL calendars to allow posting for 2024. Packages will not perform as expected if accounting periods for 2024 are not assigned appropriately.
  • Create a new year and periods for payroll calendars. Use the period wizard and, where needed, update the number of workdays.

Miscellaneous tasks

  • To ensure that reports and processes run smoothly in the new year, be sure to update date references in your report and action profiles (aka "saved answers") and in Crystal Report designs. Also update any other settings which may have changed since 2023.

1099 Detail Report

Purpose

For each vendor in your selection, the 1099 Detail Report shows 1099 amounts by return type during a specified date range.

Content

For each vendor on the report, the report shows:

  • vendor name
  • vendor federal ID number
  • 1099 income type
  • 1099 total for transactions in the date range.

In addition, you can include one or more of the following:

  • payment detail (payment date, reference, merge number; invoice date, invoice number, merge number; invoice payment APCode, gross payment, amount)
  • reporting location.

The following total appears on the report:

  • record count.

Preinstalled saved answers

For your convenience, ActivityHD includes four preinstalled saved answers for common reporting scenarios.

Print the report

  1. In the Navigation pane, highlight the Accounts Payable > Vendors folder.
  2. Start the report set-up wizard.
    • To report on all or a filtered subset of vendors:
      1. Right-click the Vendors folder and select Select and Report > 1099 Detail Report from the shortcut menu.
      2. On the Selection tab, define any filters to apply to the data.

    • To report on specifically selected vendors:
      1. In the HD view, select the vendors to include on the report. You can use Ctrl and/or Shift selection to select multiple records.
      2. Click and select 1099 Detail Report from the drop-down menu.
    • To report on a particular vendor from the Vendor window:
      1. In the HD view, locate and double-click the vendor to report on. The Vendor window opens with the vendor loaded.
      2. Click and select 1099 Detail Report from the drop-down menu.
  3. Select the Detail tab.

  4. In the Payment Begin Date and Payment End Date fields, enter the range of vendor payment dates for which to include transaction information on the report.
  5. In the Return Types section, ensure that the checkbox is marked for each 1099 return type you want to include on the report. Your options are:
    • 1099-DIV Dividends and Distributions
    • 1099-INT Interest Income
    • 1099-MISC Miscellaneous Income
    • 1099-NEC Nonemployee Compensation
    • 1099-R Distributions from Pensions, ...
  6. Select the Options tab.

  7. If you only want to show vendors on the report that would be included in the 1099 creation process, mark the Apply Minimum Amount Limits checkbox.
  8. If you want to suppress transaction detail and show only 1099 totals for each vendor, mark the Totals Only checkbox. If you mark this checkbox, the remaining checkboxes on the tab are disabled; skip to step 11.
  9. If you want to limit the report to vendors who are missing required 1099 information or whose combined address fields exceed 40 characters, mark the Only Show Vendors with Validation Errors checkbox.
  10. Mark the checkbox(es) for the additional information to include:
    • Payment Detail
    • Reporting Location
  11. To include a section at the end of the report with the report settings used to produce the report, leave the Include Report Options checkbox marked. To produce the report without this information, clear the checkbox.
  12. Select the Output tab.
  13. In the Design field, look up and select the report design to use.
  14. In the toolbar, click the icon for the type of output you want:
    • - Provides access to two preview options.
      • Preview - Click the icon or click the drop-down arrow and select Preview from the drop-down menu to view the report in the Crystal Reports viewer.
      • Preview to PDF - Click the drop-down arrow next to the icon and select Preview to PDF to view the report in the PDF reader.
    • - Opens the Print dialog so that you can select and configure a printer and then print a paper copy of the report.
    • - Opens the Report Email dialog so that you can address and compose an email that the report will be attached to. For best results, ensure your email client is running before you attempt to send a report via email.
    • - Opens the Export Report dialog so that you can save the report to a file. File types include Crystal Reports (.rpt), PDF (.pdf), Microsoft Excel (.xls), Microsoft Word (.doc), rich text (.rtf), and XML (.xml).

Report Email dialog

From
The email account from which to send the email. Valid options are:
  • Windows user default account. Sends email using the user's Windows default email account. For most users, this is the account configured in Outlook or another email client application.
  • Server personal. Sends email using the email configuration for the system or company server and the email address on the current user's authorized user record. The authorized user record must have a confirmed email address.
  • Server generic. Sends email using the email configuration and "from" address for the system or company server. This option requires "Send generic" access to the Server Email resource.
